Job title:                      Administrative Assistant – part time

Reporting to:              Administrator / Home Director

Salary:                         £8.10 / hour + 25% at weekends

Location:                     Green Tree Court, Exeter

Purpose of the role

To provide clerical and administrative support to the Administrator and Home Director.  To present a professional and efficient image of Lexicon Healthcare to all telephone callers and visitors to the Home.

Are you a professional and experienced administrator with a keen eye for detail? We are looking for a part-time Administrative Assistant to join our team at Green Tree Court.

You will have at least 1 years’ experience as an administrator with a thorough knowledge of Microsoft Word Packages and ideally some finance and reception experience. Ability to multi task a must for our busy reception/office environment.

This role requires working every other weekend on a two week rota. Week one would be three week days. Week two would be one weekday and the weekend.

Our office hours are Monday to Friday 08:00-19:00 and Saturday and Sunday 1000-1600. As a care home we are open 365 days a year, including bank holidays.

A DBS check will be required for this role.

Key responsibilities of the role

  • To answer all telephone calls and greet visitors promptly, courteously and efficiently. Ensure that all visitors sign the Visitor’s Book.  Offer refreshments and ensure that they are delivered to the visitor.
  • Ensure that the reception area is tidy and presentable at all times.
  • Order newspapers and sort / deliver mail and newspapers to residents.
  • Accompany all visitors to the appropriate employees or resident. Accompany new residents and relatives to appropriate rooms.
  • Assist with enquiries regarding the Home and showing prospective clients and families around the Home.
  • Carry out general administration and typing for the Home Director.
  • Assist in maintaining rechargeable expense accounts / extra’s for residents.
  • Assist in maintaining the filing system accurately.
  • Assist in the recording of the purchase ledger by inputting purchase orders, delivery notes and invoices.
  • Assist in the management of petty cash monies in accordance with company policy and procedures.
  • Assist in accurately recording and updating information on employees personal records with regard to confidentiality.
  • Assist in inputting and updating payroll records, enabling accurate information to be available for the payroll department within the given time scales.
  • Assist in ordering and distribution of uniforms and name badges to staff as per company policy, ensuring they are within budget.
  • Deputise in the absence on the Administrator as required.

Person specification:
Experience in Microsoft Office, in particular Excel.
Basic knowledge of accounts and payroll
Experience on a reception
Ability to work in a team
Ability to work under pressure and with initiative
Experience working with older people
Knowledge of using telephone switchboards
Typing speed of at least 30 words per minute

Desired education: 
3 GCSE’s or equivalent, to include English
